Your RingSquared UCaaS seat comes with a dedicated voicemail inbox. The first time you log into your voicemail while setting up your account, you will be prompted to set a new voicemail PIN and record your greeting. See the full details for logging in the first time and recording your greeting.

Once your RingSquared voicemail it set up, you are ready to receive and listen to new messages.

Access Your Voicemail

To begin, you can access your voicemail box in many ways, whichever is most convenient for you:

From the online portal, mobile app, or desktop app, you can access your voicemail messages in the voicemail section. If you have a missed call or new voicemail, you will receive a notification. To access your voicemail using an IP phone, press the messages button if you have one or dial *15.
Voicemail Main Menu
After listening to your new messages, or if there are no new messages, you will be presented with the voicemail main menu; listen to the prompts and press the keys on your dial pad to select the option you would like to access:

  • Play Inbox Messages: 1
  • Send Messages: 2
  • Work with Greetings: 3
  • Mail Box Settings: 4
  • Access Deleted Messages: 6
  • Log On as a Different User: 7
  • Help: 0
  • Exit Voicemail System: *

Message Playback Options
While listening to your voicemail messages, you can take the following actions:

Forwarding a Message

While listening to messages, you can choose to send a copy of the message to another recipient. To do so, follow these steps:

Step 1. To Forward the current message you are listening to, press 5.
Step 2. Enter an extension number or Distribution Group Number. Repeat this step until you’ve entered all the desired destinations.
Step 3. Press # when finished entering destinations.
Step 4. You will be prompted to record an introduction. After the tone, record your introductory message and press # when finished.
Step 5. Press # to send or press 1 for delivery options, followed by # to send. Delivery options include the following:

a.Review the Message: 1
a.Mark message as urgent: 2
b.Mark message as private: 3
c.Re-record your message: 4
d.Request a delivery report: 5
e.Request a read report: 6
f.Add or remove recipients: 7
g.Schedule the message to be delivered in the future: 9
h.Send the message as is: #
i.Exit or cancel press: *

Replying to a Voicemail Message
While listening to a voicemail message, you can call the person back by pressing 4 and selecting option 1.

Please note: this capability will not work if the RingSquared system was not able to identify the Caller ID information when the original voicemail was received, or if your phone is configured with call restrictions which prevent you from calling the originator’s number.

Reset Your Voicemail Password
When you sign up for RingSquared UCaaS you will receive a temporary voicemail PIN, which needs to be reset the first time you log in. If you wish to change you voicemail PIN again in the future, follow these steps in the voicemail menu:

Step 1. Access your voicemail box.
Step 2. From the main voicemail menu, press 4 to change your settings.
Step 3. Press 3 for security options.
Step 4. Press 1 to change the PIN.
